Booking & Payment Policy

Welcome to SAKHER BHRAMAN TOUR & TRAVELS. This Booking & Payment Policy explains the procedures, terms, and conditions relating to tour reservations, booking confirmations, payments, and related financial obligations.

By making a booking with us, you acknowledge that you have read, understood, and agreed to this Booking & Payment Policy.


1. Scope of this Policy

This Policy applies to all bookings made through:

  • Our Website
  • Our Office
  • Telephone
  • WhatsApp
  • Email
  • Social Media
  • Authorized Representatives

It applies to:

  • Domestic Tours
  • International Tours (Currently Nepal & Bhutan)
  • Group Tours
  • Customized Tours
  • Pilgrimage Tours
  • Holiday Packages

2. Booking Eligibility

A booking may be made by:

  • Any individual aged 18 years or above.
  • A parent or legal guardian on behalf of a minor.
  • A legally authorized representative acting on behalf of another traveler.

The person making the booking confirms that they have the authority to provide the information and accept these terms on behalf of all travelers included in the booking.


3. Booking Procedure

To reserve a tour, travelers are required to:

  1. Submit the requested personal information.
  2. Select the desired tour package.
  3. Confirm travel dates.
  4. Provide valid identification documents where required.
  5. Pay the applicable booking advance.
  6. Receive booking confirmation from the Company.

A booking shall not be considered confirmed until the Company issues a confirmation.


4. Booking Confirmation

Your booking will be confirmed only after:

  • Required traveler details have been received.
  • The applicable advance payment has been successfully received.
  • Availability of the requested tour has been verified.
  • Confirmation has been issued by the Company through WhatsApp, email, SMS, invoice, or other official communication.

The Company reserves the right to decline or cancel any booking prior to confirmation if necessary.


5. Advance Payment

To confirm a booking, an advance payment of 30% of the total package cost is required.

Until the required advance payment is received, the Company is under no obligation to reserve seats, hotels, transportation, or any other travel services.

Availability is subject to change until the booking is confirmed.


6. Balance Payment

The remaining balance must be paid at least fourteen (14) days before the scheduled departure date, unless otherwise agreed in writing.

Failure to complete the payment within the required timeline may result in:

  • Cancellation of the booking,
  • Release of reserved services,
  • Loss of promotional pricing (if applicable),
  • Application of the Company’s cancellation policy.

7. Accepted Payment Methods

At present, we accept payments through:

  • UPI
  • Bank Transfer
  • Cash

We currently do not accept:

  • Credit Cards
  • Debit Cards
  • EMI
  • Online Payment Gateway Payments

The Company may introduce additional payment methods in the future without prior notice.


8. Payment Confirmation

A payment shall be considered successful only after:

  • The funds have been received by the Company,
  • The transaction has been verified,
  • An official payment acknowledgment or receipt has been issued.

Travelers are advised to retain all payment receipts and transaction references for future correspondence.


9. Payment Receipts

Upon successful payment, the Company will provide an acknowledgment or receipt through an appropriate communication channel.

Travelers should verify that the payment details reflected in the receipt are accurate and promptly notify the Company of any discrepancies.


10. Package Prices

All package prices are quoted in Indian Rupees (INR) unless expressly stated otherwise.

Prices displayed on the website, advertisements, brochures, or social media are indicative and may change without prior notice due to operational or supplier-related reasons.


11. Taxes

Unless specifically mentioned, package prices do not include applicable taxes, government levies, permit fees, or other statutory charges.

Such charges, where applicable, will be communicated to the traveler before confirmation of the booking.


12. Price Revisions

The Company reserves the right to revise package prices before confirmation due to:

  • Hotel rate changes,
  • Fuel price increases,
  • Government tax revisions,
  • Transportation cost increases,
  • Currency fluctuations,
  • Supplier price revisions,
  • Seasonal demand,
  • Operational requirements.

Once a booking is confirmed, any subsequent revision will be handled in accordance with the agreed booking terms and applicable supplier conditions.


13. Late Payment

Travelers are expected to complete all outstanding payments on or before the due date communicated by the Company.

If the balance payment is not received within the required time, the Company may, at its sole discretion:

  • Cancel the booking.
  • Release reserved hotel rooms.
  • Release transportation bookings.
  • Cancel sightseeing reservations.
  • Cancel any other confirmed travel services.

The Company shall not be responsible for any loss arising from delayed or non-payment by the traveler.


14. Payment Default

Failure to make the required payment within the specified timeline shall constitute a payment default.

In such cases, the Company reserves the right to:

  • Cancel the booking without further notice.
  • Apply the applicable cancellation policy.
  • Recover any unrecoverable costs already incurred with suppliers.
  • Refuse future bookings where appropriate.

15. Customized Tour Payments

Customized tour packages are prepared specifically according to the traveler’s requirements.

Accordingly:

  • Prices may vary depending on itinerary changes.
  • Additional services requested after confirmation may attract additional charges.
  • Customized bookings may be subject to supplier-specific payment conditions.
  • Certain customized services may be non-refundable once confirmed.

16. Booking Amendments

Travelers may request changes to a confirmed booking, including:

  • Travel dates.
  • Destination.
  • Hotel category.
  • Room occupancy.
  • Traveler details (where permitted).
  • Transportation preferences.

All amendment requests:

  • Are subject to availability.
  • May require supplier approval.
  • May result in additional charges.
  • Are not guaranteed.

The Company reserves the right to decline amendment requests where implementation is not reasonably possible.


17. Transfer of Booking

Subject to operational feasibility and supplier approval, a confirmed booking may be transferred to another eligible traveler.

Such transfers:

  • Must be requested sufficiently before departure.
  • Require updated identification documents.
  • May involve administrative or supplier charges.
  • Are subject to the Company’s written approval.

18. Additional Charges

The traveler shall be responsible for any additional expenses arising from:

  • Personal requests.
  • Optional sightseeing.
  • Room upgrades.
  • Additional meals.
  • Extra baggage.
  • Emergency transportation.
  • Medical treatment.
  • Personal shopping.
  • Permit changes.
  • Hotel extensions.

Such expenses are payable directly by the traveler unless otherwise agreed.


19. Payment Verification

The Company reserves the right to verify any payment before confirming a booking.

Where necessary, travelers may be requested to provide:

  • Transaction reference numbers.
  • Bank transfer proof.
  • UPI confirmation.
  • Identity verification.

Failure to provide requested verification may delay or prevent booking confirmation.


20. Fraud Prevention

To protect both travelers and the Company, bookings may be refused or cancelled where there is a reasonable belief of:

  • Fraudulent activity.
  • False identity.
  • Forged documents.
  • Unauthorized payment methods.
  • Misrepresentation of information.
  • Violation of applicable laws.

The Company reserves the right to report suspected fraudulent activities to the appropriate authorities.


21. Payment Errors

If a payment is made incorrectly due to:

  • Duplicate transactions,
  • Technical errors,
  • Incorrect transfer amounts,

the traveler should notify the Company promptly.

Any refund or adjustment will be processed after verification.


22. Currency

All bookings are currently processed in Indian Rupees (INR).

The Company does not presently accept payments in foreign currencies unless otherwise agreed in writing.

Any currency conversion charges imposed by banks or payment providers shall be borne by the traveler.


23. Refunds

Refund requests shall be processed strictly in accordance with the Company’s Refund & Cancellation Policy.

Approval of a booking does not automatically entitle a traveler to a refund.


24. Company’s Right to Refuse a Booking

The Company reserves the right to refuse or cancel a booking at its sole discretion where:

  • Required information is incomplete.
  • Payment is not received within the prescribed time.
  • Fraud or misrepresentation is suspected.
  • The requested services are unavailable.
  • Safety, legal, or operational concerns arise.

Where applicable, refunds will be handled in accordance with the Refund & Cancellation Policy.


25. Governing Law

This Booking & Payment Policy shall be governed by and interpreted in accordance with the laws of the Republic of India.


26. Jurisdiction

Any dispute arising from or relating to this Policy shall be subject to the exclusive jurisdiction of the competent courts located in Kolkata, West Bengal, India.

The parties are encouraged to attempt an amicable resolution before commencing legal proceedings.
